SASVEPM FULL PAPER SPECIFICATION

Layout and Referencing requirements

1. SUBMISSIONS

Full papers must be submitted by e-mail, as a Word document attachment. The extension of this file must be .doc and not .docx, so if newer versions of MSOffice are being used you will be required to save the document in the older .doc format. The name of the Word document must be in the following format: SASVEPM2010NameSurname.doc, for example SASVEPM2010JoeSoap.doc

2. PRESENTING AUTHOR

Unless otherwise stated, it is expected that the first named author will present the paper. It is therefore essential that the author who is expected to present the paper at the conference is indicated clearly in the paper, by underlining their name. Any change to the presenting author must be notified as soon as possible, and the committee reserves the right to withdraw papers under these circumstances.

3. GENERAL

Papers should closely reflect the presentation and thus be of a reasonable length – approximately six (6) A4 pages. A minimum 2 cm margin should be applied (top, bottom, left and right). Use the Times New Roman font size 12 throughout the paper. All of the document should be fully justified. Leave a blank line between each main heading (see main headings below). The start of each paragraph within the paper should be indented by five spaces. Please note that the proceedings will be published in an A5 format and hence A4 pages will be reduced to this size. It is for this reason that you ensure you don't make your figures and tables too small. The proceedings will be published in black and white.

4. TITLE

THE TITLE SHOULD BE IN CAPITALS AND BOLD

5. AUTHORS

Authors should be indicated as shown below:-

Author, A. B., Author, C. D. & Author, E. F.

Please note that the final author is preceded by an ‘&’ symbol and NOT the word ‘and’.

6. CONTACT DETAILS

It is ESSENTIAL that you supply FULL CONTACT DETAILS.

Please specify the following:-

- Contact author's name (also the name of the proposed speaker if different from the contact author). - Contact author's full postal address including post/Zip code. - Contact author's telephone number. - Contact author's fax number (if applicable). - Contact author's e-mail address (if applicable).

7. MAIN HEADINGS

Headings of each section must include the following – SUMMARY, INTRODUCTION, MATERIALS AND METHODS, RESULTS and DISCUSSION should be in capitals and justified left with a line open above and below. The main headings are NOT in bold. Sub-headings can be done in Title case and in bold, with an open line above the sub-heading but no open line immediately below it. The use of additional headings and sub-headings is left to the discretion of the authors.

8. TABLES and FIGURES

Captions to tables must be above the said table, while captions for figures must be below the figure. The Table and Figure captions must be as follows. Table 1: Description of table Figure 1: Description of figure

The format of the tables may be edited by SASVEPM in order for consistency to be present within the proceedings booklet.

9. REFERENCES

References should be detailed as indicated below. This should be adapted appropriately for other types of reference; however, the title of the reference (or English translation) should always be quoted.

Author, A. B., Author, C. D. & Author, E. F. (Year) Title of paper. Journal, Volume, Page numbers.

Please note again the ‘&’ symbol preceding the final author. Also note that the Journal name is NOT italicized.

Authors in text must be written out in the same format as that in the reference section with the removal of the initials and the addition of the year in brackets eg (Author, Author & Author (Year)) or alternatively if referenced more than once the first should be as above and after this (Author et al. (Year)).
